Mauri Tūhono Feedback 2023 Privacy Statement

What this statement covers

Greater Wellington Regional Council (Greater Wellington) has created this privacy statement to explain how we deal with your personal information collected by and on behalf of the Mauri Tūhono ki te Upoko o te Ika collaborative working group (the Group) about Kaipupuri Taonga ki te Ao Whānui (the Framework). Personal information is information about an identifiable individual – you.

The collection, storage, use and disclosure of your personal information addresses the requirements of the Privacy Act 2020. This Act is administered by the Ministry of Justice and its application is overseen by the Privacy Commissioner.

What personal information do we collect and for what purposes?

All information is collected by the Mauri Tūhono ki te Upoko o te Ika collaborative working group (the Group) or by Greater Wellington staff on behalf of the Group.

Engagement information

This is your feedback, including your comments and ideas, on the Framework created as part of your interactions with members of the Group, Greater Wellington staff and through the Mauri Tūhono website (via the feedback form). Feedback from meetings and face-to-face interactions may be captured either electronically or on paper.

We also ask for your name, email address, and contact phone number if you want Greater Wellington to keep you in the loop about progress on finalising and implementing the Framework.

Usage information

Greater Wellington collects grouped data on usage of the Mauri Tūhono website, such as the pages visited, documents downloaded, etc. This information is not linked to any named individuals.

The above information is collected by, or on behalf of, the Group to:

• Inform and advise the Group, Greater Wellington, partner organisations, and the community conservation sector on the future implementation of the Framework

  • Improve the way we support community restoration in the future

  • Report on how successful the consultation was through related usage data

  • Communicate to you, if you agree, about the implementation of the Framework

  • Respond to your enquiries relating to the public consultation.

Your provision of the engagement information is voluntary. If you decide not to provide this information, we won’t be able to consider your feedback or contact you about the Framework.

Using your information

We will only use the personal information provided to us:

  • For the purposes you provide that information

  • For other reasons permitted by the Privacy Act 2020 (e.g. with your consent, for a directly-related purpose, or where the law permits or requires this use).

Data storage, security and accuracy

Greater Wellington has implemented measures to ensure your personal information is kept safe and secure; is protected against loss, damage, misuse and unauthorised access; is kept accurate, current, complete, and relevant; and is not misleading.

These measures include:

  • All information gathered on paper will be digitised and the hard copies destroyed

  • All electronic records, including the website feedback forms, digitised information, and email correspondence with you are transferred to a secure folder in Greater Wellington’s document management system

  • Access to this secure folder is limited to the Mauri Tūhono project team and system administrators.

Sharing your information with others

Compiled non-identifying information (e.g. submission themes) will be shared in summaries, reports and presentations to the Group members, Greater Wellington, partner organisations, and the community conservation sector. No individual will be named, or their specific feedback included, in these documents.

Accessing and correcting your personal information

You can:

  • Ask us to confirm whether we hold personal information about you

  • Request access to that information by emailing us at privacy@gw.govt.nz

  • If applicable, ask us to correct that information (see above).

Once we have verified your identity, we will provide you with confirmation and access, unless we believe we should withhold the information under the Privacy Act 2020. We will deal with your request within 20 working days; and, if we decide to withhold, we will provide the reasons and supporting grounds.

Correction

If we:

  • Agree that your personal information needs to be corrected, we will do so and provide you with an amended record (if requested)

  • Refuse a request for correction, you are entitled to request that a statement is attached to the relevant personal information recording that the correction was sought but not made.

  • Your rights to access and correct any personal information we hold are subject to the Privacy Act 2020.
